Privacy policy
HOB Compass is run by The Heart of Behavior for its own staff. This page explains what it collects, why, and who can see it. It covers hobcompass.com, HOB Rooms (rooms.hobcompass.com), HOB Inventory (inventory.hobcompass.com) and the demo (demo.hobcompass.com). Last updated: October 27, 2026.
Signing in with Google
When you choose Sign in with Google, Google tells us your email address, that it is verified, and your name. We ask for nothing else: no access to your email, files or contacts.
- Your email is checked against the staff list so the right people get in, and each sign-in and sign-out is recorded in the activity log.
- If your email isn't on the staff list, you can send a Request access form with your email, name and role. A scheduler approves or declines it.
- We don't store your Google password, profile picture or anything else from your Google account.
- Google user data is used only to sign you in. It is never sold, used for advertising, or shared with anyone outside the center except the service providers below.
What HOB Rooms keeps
- Staff records: name, a short display name (first name and last initial), role, sign-in email and access level, entered by a scheduler.
- Room bookings: room, date, start and end time, who it is for, who booked it, and the kind of use from a fixed list (for example Meeting or Phone call). There is no free-text box.
- Alerts: in-app notices when someone books or cancels for you, deleted after 60 days.
- Activity log: who changed what and when, and every sign-in and sign-out. It can't be edited or deleted from the app.
No client information goes into HOB Rooms.
Who can see HOB Rooms
- Signed-in staff see room bookings, with staff short names.
- Schedulers and BCBAs (full access) also see staff records and access requests. The center's administrators can read the activity log in the database.
- Door tablets: each room has a private link that shows today's bookings for that room (short names, kind of use and times) without signing in. Anyone holding the link can see it, so the center keeps the links on its tablets and replaces a link if it leaks.
What HOB Inventory keeps
HOB Inventory tracks the center's laptops, tablets and other devices that staff borrow. It has its own database, separate from HOB Rooms.
- Staff records: the same details as in HOB Rooms (name, short name, role, sign-in email and access level), entered by someone with full access.
- Devices: name, type, tag (for example DEV-001), where it lives, serial number, and hardware details such as model and computer name.
- Loans: who has a device, where it's going from a fixed list (In clinic, Home session, School visit), when it's due back, whether the charger and case went with it, and the check-in checklist.
- Problems: a reported problem from a fixed list, such as a cracked screen.
- Laptop setup reports: when a laptop was set up, which version, and whether it worked. They hold no personal information.
- Alerts and activity log: as in HOB Rooms.
No client information goes into HOB Inventory. Loans are always under a staff member's name, never a client's.
Everyone signed in sees the devices and who has each one out. Adding and editing devices, printing labels and seeing staff records need full access.
Where it is stored
The sites are hosted by Netlify, and the data of HOB Rooms and HOB Inventory is stored in databases at Neon, in the United States. Google provides sign-in. These providers may keep standard technical logs, such as IP addresses. The pages load fonts from Google Fonts. We don't use advertising or analytics trackers.
Cookies: one sign-in cookie keeps you signed in for up to 12 hours.
How long it is kept
Room bookings are deleted 90 days after the booking date. When someone leaves, their access is turned off right away and their staff record is removed 90 days later. Access requests are deleted 90 days after they are approved or declined. In HOB Inventory, device records and loan history are kept while the center owns the device, so it knows who had what. The activity log is kept for record-keeping and is not deleted from the app.
The demo
demo.hobcompass.com holds only made-up sample people and client codes. Testers' answers on its Testing page are saved for the organizer. Don't enter real information there.
